Basic Email Archival Overview
Simple user-, domain-, or account-wide email backup and email archival for
inbound and/or outbound email messages that can be accessed via WebMail or
IMAP.
The ability of users or administrators (depending on the situation) to
annotate and delete messages from archival storage makes this solution
inappropriate for FRCP, GLBA, Sarbanes-Oxley, and HIPAA complaince situations (see our Premium Email Archival solution for
such situations). However, the basic solution is a very cost-effective
way to manage your own audits, online backups, and offline backups.
Motivation
While LuxSci provides nightly and weekly backups of your email data,
many users and companies require much more, such as:
- Keeping an available backup copy of all "recent" messages to or from an
individual user
- Keeping archival copies of all email messages to all users
in the account for a period of time.
LuxSci has a suite of innate features that makes these and many other
requirements easy to accommodate. These features are avaialable to all
LuxSci email hosting accounts at no additional cost, as long as
these accounts use their own domain name and not the "luxsci.net" shared
domain name.
Capture all Outbound Email for a Domain
This optional administrative feature enables you to have copies of
all outbound email from all users in your domain(s) forwarded to an
email address of your choice. You may choose to exclude select users from
this process.
You can also employ our outbound email scanning feature to send copies
of outbound messages containing certain content (text or regular
expressions) to an email address of your choice. This allows you to
monitor and enforce policies on the content of the email messages that
your employees or users are permitted to send.
If you enable outbound or email capturing, individual users cannot
exclude themselves from it; you will receive a complete copy of all email
traffic, including email sent via SMTP and WebMail, no matter what "From"
address(es) your users choose to send from. The archival recipient of
these copies can be a LuxSci user or an email address of your choice at
another email hosting company.
Note that users will know if you enable email capturing or scanning
because there will be a notice to this effect in their WebMail Welcome
pages; this service is not designed to enable surriptitious violation of
users' privacy.
Capture all Inbound Email for a Domain
This optional administrative feature enables you to have copies of
all inbound email to all users in your domain(s) forwarded to a
single email address of your choice. You may choose to exclude select
users from this process. You can, alternatively, have copies of all
inbound email to your domain forwarded to the respective users at another
domain. I.e. copies of all email to user.com could be
sent to user.com for each distinct user.
Both methods are good for capturing all inbound email for archival,
auditing, or backup purposes.
Email that is filtered and denied or quarantined by Email Defense, our premium
anti-Virus and anti-Spam solution, will not be included in this process
- so you don't have to archive or store Spam and Viruses.
If you enable inbound email capturing, individual users cannot exclude
themselves from it; you will receive a complete copy of all inbound email.
The recipient(s) of these copies can be a LuxSci user or an email address
of your choice hosted at any other email provider.
Note that users will know if you enable email capturing because there
will be a notice to this effect in their WebMail Welcome pages; this
service is not designed to enable violation of users' privacy.
Backup All Inbound Email for a User
Individual users can enable their "BACKUP" email folder which saves
copies of all of their inbound email. By default, only recent email is
kept in this folder, with older messages being purged nightly; however,
users can configure their individual BACKUP folder to keep email for any
period of time or to archive email as described below.
The BACKUP feature is the user-level equivalent of capturing all
inbound email for the domain, described above. Users who enable their
BACKUP folder have the flexibility of choosing at which point this backup
occurs in the scheme of their email filters. I.e. they can create filters
that divert email before a copy is saved in their BACKUP folder.
Automatically Archive Email Folders
"Automatic email folder archival" can be applied to any email folder.
It allows you to have the contents of the email folder automatically moved
to a new folder. For example, an archival of the "INBOX" folder that
happens on January 1st, 2008 would create a new sub-folder of "INBOX"
called "2008-01-01". All of the messages the in INBOX would be moved to
the new subfolder and the INBOX would then be empty ... ready to build up
again.
Archival can be configured to occur daily, weekly, monthly, every few
months (where "few" can be 2, 3, 4, or 6), yearly, or after the folder in
question reaches a specified size.
Email folder archival makes it easy to keep the size of a folder down
while retaining copies of all the email that has arrived in the folder in
dated archives. It also makes it easy to have all email automatically
sorted into dated chunks that can be easily downloaded for offline storage
or search.
These archival subfolders are normal email folders which can be
accessed via WebMail or IMAP.
Download Email Folders for Archival
Users can download email folders of any size as an archive. The
archive is a "ZIP" file containing all of the messages in the folder
formatted in your choiceof the standard "EML" "or "unix" mailbox
formats.
This easy method for downloading folders provides a means of removing
your email archives from the server and saving them locally in a format
that should be easily importable to any other email system. If you wish,
you can then delete the archives from our servers to conserve disk
space.
Ordering
All of these features are available to all LuxSci email and web hosting
accounts. There is nothing special to buy or sign up for, as these are
standard LuxSci features. The cost involved is merely the cost of storing
the extra backup/archival email in your accounts.
